  • Operations Coordinator

    Advent Talent Group is seeking an Operations Coordinator to support a collaborative, family-owned business in Edina, MN. This role serves as the hub for service operations, coordinating customer requests, scheduling technicians, maintaining records, preparing proposals, and processing invoicing. The ideal candidate is organized, customer-focused, and comfortable managing multiple priorities in a fast-paced, non-corporate environment. A friendly, outgoing personality, strong computer skills, and the ability to professionally navigate challenging customer situations are essential for success in this role.

    Overview
    Pay Rate: $27-30/hour
    Position Type: Contract to hire
    Location: Edina, MN (On-site)

    Responsibilities

    • Serve as the primary point of contact for incoming service calls, emails, and customer inquiries, providing professional and timely support.
    • Coordinate and schedule service technicians and preventative maintenance visits while managing changing priorities.
    • Prepare and send service, repair, and preventative maintenance proposals to customers.
    • Maintain accurate job records, customer information, service documentation, and tracking systems.
    • Communicate service updates, repair findings, and scheduling details with customers, technicians, and internal teams.
    • Process invoicing, update job statuses, and ensure all service and maintenance work is accurately documented and billed.
    • Create inspection reports, track maintenance contracts and renewals, and support ongoing preventative maintenance programs.


    Qualifications

    • 2+ years of experience in customer service, service coordination, dispatching, scheduling, administrative support, or a related role.
    • Friendly, outgoing personality with the ability to build relationships and professionally manage difficult customer situations.
    • Strong organizational skills with the ability to prioritize multiple tasks in a fast-paced environment.
    • Solid computer literacy and confidence learning and navigating multiple systems and software platforms.
    • Proficiency with Microsoft Office Suite; experience with QuickBooks, service management, dispatching, or CRM systems is preferred.
    • High attention to detail with strong data entry, documentation, and recordkeeping skills.
    • Comfortable working in a collaborative, family-owned, non-corporate office environment supporting field service operations.

    Advent Talent Group is seeking compassionate professionals to join a mission-driven nonprofit dedicated to creating lasting change through equity, collaboration, and advocacy. As a 988 Suicide Prevention Call Specialist, you’ll provide trauma-informed crisis support to individuals experiencing emotional distress or suicidal crisis, helping them navigate their most vulnerable moments.

    Compensation:
    $27.25/hour + shift differentials
    Employment Type: Contract-to-hire
    Schedule: Full-time (37.5 hours/week)
    Shifts:
    Thursday-Monday 6PM-2AM
    Saturday-Wednesday 10PM-6AM


    Responsibilities

    • Provide empathetic crisis counseling and emotional support using evidence-based intervention techniques
    • Conduct suicide risk assessments and collaboratively develop individualized safety plans
    • Accurately document all interactions in the web-based iCarol system
    • Manage multi-line soft-phone systems to handle incoming and outgoing calls efficiently
    • Coordinate with emergency services when immediate intervention is required
    • Engage in continuous professional development and training opportunities
    • Foster a supportive, compassionate team environment

    Qualifications:

    • Education & Experience: Bachelor’s degree in social work, psychology, counseling, or a related field (preferred) OR 2+ years of professional experience in community services, crisis response, or mental health support

    Required Skills & Competencies:

    • Comprehensive knowledge of mental health principles, crisis intervention, and professional phone communication
    • Exceptional empathy, active listening, and interpersonal skills
    • Cultural competency and ability to work effectively with diverse populations
    • Ability to remain calm, focused, and solution‑oriented in high‑pressure situations
    • Tech‑savvy, with proficiency using computer systems and web‑based documentation platforms
    • Strong rapport‑building skills with appropriate professional boundaries
    • Commitment to confidentiality and HIPAA compliance
    • Familiarity with mental health assessment tools and clinical terminology
