Responsibilities Include:
This role provides direct assistant to the CEO and serves as a liaison to the Board of Directors through facilitating communication. Specific duties include:
- Providing proactive and organized support to the CEO, staying one step ahead in managing appointments, preparing correspondence and facilitating conference calls
- Managing reception for the CEO's office, answering and managing incoming calls, greeting visitors and distributing mail
- Managing appointments for the CEO and Director of Advancement
- Maintaining up-to-date contact information and organizing documents, records and reports
- Coordinating and prepping for board meetings and internal staff meetings, including preparing meeting packets, taking notes, and preparing official meeting minutes
- Maintaining board-related documents and files, responding to information requests from board members
- Assisting in onboarding new board members and preparing related paperwork
- Coordinating employee events and catering for internal and external meetings
- Maintaining general office supplies as well as ordering business cards and other miscellaneous items
Qualifications Include:
- 4+ years of experience providing direct support to executive personnel, including calendaring, preparing correspondence, and reception support
- Exceptional organizational and calendar management skills
- Strong communication and interpersonal skills, able to work with all levels of the organization
- Ability to work well under pressure and balance multiple priorities with minimal supervision
- Demonstrated proficiency in Microsoft Office applications, as well as Microsoft Teams and Zoom
- Excellent attention to detail and the ability to work with confidential information
- A proactive and "can-do" attitude, able to work under tight deadlines with excellent problem-solving skills
- Ability to work occasional weekends or evenings (infrequent)
- Comfortable representing the organization's mission while working with a diverse range of people and communities
- Event planning and coordinating experience preferred
- Office management or other supervisory experience a plus
