About the job
As the Administrative Assistant, you will support our client' s headquarters and regional offices while collaborating with their finance, marketing, human resources, and information technology teams, forging relationships through all levels. You will provide timely and top-of the line customer service to clients, as well as prepare and edit corporate and project documents and assist in filing. Hours will be full-time, Monday-Friday. Additional duties will include:
  • Maintaining a neat and professional front desk and providing a positive and professional first impression to clients
  • Answering phones in a prompt and courteous manner
  • Coordinating with the acting facilities specialist to keep the office map and employees' names and phone extensions updated
  • Sending and receiving faxes as needed, and assisting in mail sorting and distribution
  • Assisting with the coordination of meeting rooms and maintaining meeting supplies and refreshments
  • Maintaining mail room supplies and equipment
  • Assisting with client contact information updates
  • Coordinating courier services (FedEx /UPS) and maintaining accurate and timely records
  • Coordinating all inter-office deliveries
  • Assisting with distribution of plans and specifications for bidding and maintaining plan holder lists both manually and electronically
  • Reporting and logging building maintenance issues with the property manager
  • Other duties as assigned

  • 3+ years receptionist/administrative experience
  • Proficiency in Microsoft Office Suite
  • Excellent interpersonal communication skills, both verbal and written
  • Problem solving skills and self-motivation
  • Ability to work well with others and collaborate across teams
  • An Associate Degree is preferred.
